SUBJECT: Flexible Work Arrangements

DATE: October 13, 2021

As a result of shifts in flexible work arrangements over the last year and heightened awareness surrounding safety precautions on campus this fall, Campus Enterprises is providing for a flexible work arrangement “FWA” pilot project as provided in this memorandum.  Eligibility and scheduling of flexible work arrangements are at the discretion of department management and CE leadership. However, because our operations are highly dependent on client-facing interactions and in-person teamwork, the assumption is that the majority of work time for all positions will be on campus. An assessment of the effectiveness of FWA’s for individual employees and for the unit or working group will be conducted at the close of the fall term.

When considering FWAs please keep in mind that this agreement is subject to the employee/department satisfying the following conditions on a continuing basis:

  • Everyone in a department is in the office on the same day, at least once a week.
  • An employee assigned to or familiar with a particular department or area should be on site each weekday. (additional cross training may be necessary to fulfill this requirement)
  • Employees should work a minimum of 3 days per week in the office (we still lean toward office presence vs. remote)
  • Employees should not combine weekends and remote work days to create 4 days away from the office in a row.
  • If deemed necessary by the supervisor, an employee can be required to come to on-site duty station on days previously scheduled as remote days.
  • Remote work days cannot be split into half days or on an hourly basis.
  • Technology support will be limited to providing laptops (1 CPU per employee policy), supplemental monitor and docking stations if applicable.In accordance with university regulation REG 07.30.14 employees will take reasonable steps to protect all university- owned equipment from theft, damage, or misuse.
  • Employees using an alternate work location must protect the security, confidentiality, and integrity of university records and information at all times. Employees must comply with all information security requirements that would apply at their on-site work location.
  • The University will not subsidize or otherwise support the cost of broadband service for remote work.
  • All furniture and equipment, except for the above workstation components, for home office setup is the responsibility of the employee.
  • Remote work days should create a fair and balanced work environment among team members.
  • Participants shall comply with all provisions of Regulation 5.55.10 Flexible Work Arrangements.

All alternative scheduling arrangements are based on the assumption that employees will meet position expectations for work quality and quantity. We will assess the business impacts and usage on an ongoing basis and at the end of the fiscal year. At that time, we will review how flexible work schedules met position expectations, the needs of the department, and that of the division.
